Quoting software for professional services firms

forquotez lets consulting and professional services firms present project pricing live with the client. You adjust phases, hours and ongoing support on a shared screen while the totals update, then save the quote with its scope text and send it for signature by email.

The quoting problem professional services firms have

Services pricing mixes fixed-fee phases, hourly work and an ongoing support arrangement. The client wants to understand what each part costs and what happens if a phase is dropped or delayed.

Most firms answer with a long proposal document written after the discovery call. Partners spend hours on it, and the first real pricing conversation happens over email, where a question about one line can stall the whole engagement.

Scope and price also drift apart. The proposal says one thing, the fee table says another, and the signed version is a third file. Nobody is sure which document is the agreement.

How a live scoping call works with forquotez

  1. Set up your engagement form. Start from the Professional Services starter template in the quote builder. Add content blocks for scope, assumptions and terms next to the pricing blocks.
  2. Walk through the phases. In live presentation mode, show the required phases first. Locked lines carry an "Included" badge so the client sees what is not optional.
  3. Add or remove optional work. Click optional phases on or off and change the number of hours. The one-time total and the monthly total update separately.
  4. Choose the support level. Pick an ongoing support tier and a contract term. The quote shows Total Contract Value for the engagement.
  5. Agree on any concession. Apply a per-line discount to a specific phase, or a one-time first-invoice credit, so the client sees which line changed.
  6. Save and send for signature. The saved quote is a frozen snapshot. Send it by emailed link to the client signer, then to your own signer if you countersign.

Features that matter most for services firms

  • One quote for scope and price. Content blocks sit beside pricing blocks, so the scope text and the fee table are the same document. See the quote builder.
  • Signing order. Add multiple signers and set who signs first. Each signature is recorded in an audit trail, and the signed PDF includes an audit certificate page. See e-signatures.
  • Deal rooms. For longer evaluations, share documents and a mutual action plan with the client in one private portal. See deal rooms.
  • Built-in CRM. Link each quote to a deal, a contact and a company, and track it through your pipeline. See the built-in CRM.
  • Discount control. Locked minimums and gated discounts need a manager PIN, so a fee cut is always an explicit decision.

Before you concede on fees, check the effect with the discount and margin calculator.

Frequently asked questions

Can one quote hold both fixed fees and a monthly retainer?

Yes. One-time and recurring lines live on the same quote, and the totals show them separately. With a contract term set, the quote also shows Total Contract Value.

Can I quote hourly work?

Yes. A per-unit block takes a quantity and a rate, and you can label the unit as hours. You adjust the quantity with steppers during the call.

If we update our rates, do old quotes change?

No. Each saved quote is a frozen snapshot. Editing the form later does not alter existing quotes or signed documents.

What record do we get of who signed?

The audit trail records timestamps, IP address and user agent for each signer. The compiled signed PDF includes an audit certificate page and a SHA-256 document hash, and there is a public verification page.
